Information collected
Contact details. When you contact Orb55 by email or through a website form, the information collected may include your name, email address, telephone number, business name and details about your project.
Chat messages. If you use the optional AI assistant, your messages and the conversation so far are processed to generate replies. This includes any personal information you choose to type into the chat.
Chatbot form submissions. If you submit the contact form within the chatbot, your name, email address, telephone number, note and full chat transcript are sent through Cloudflare to Zoho for delivery to Orb55 by email. The form fields are not sent to the AI provider.
Technical information. Your IP address and a daily count of chatbot messages and form submissions are temporarily stored to limit usage and help prevent abuse. Hosting and service providers may also process technical information needed to operate and secure their services.
How information is used
Your information is used to respond to your questions, understand your requirements, prepare proposals, deliver agreed services and communicate about your project.
Chat messages are used to provide relevant replies through the AI assistant. Technical information is used to operate the website, enforce usage limits and help prevent misuse.
Information is not used to send marketing emails or newsletters, and personal information is not sold.
Lawful basis. Personal information is processed where necessary to take steps at your request before entering into a contract, fulfil a contract, or meet legal obligations. Legitimate interests also apply to handling general questions, providing the optional assistant, and maintaining a secure and reliable website.
AI assistant
The website includes an optional AI assistant powered by Anthropic's Claude. Each message sends the conversation so far through Cloudflare to Anthropic so that a relevant response can be generated.
The conversation is held temporarily in the current page's browser memory. The chatbot does not use cookies, localStorage or sessionStorage, and does not store your name separately. Reloading the page, leaving it or pressing reset clears this browser-held conversation.
Clearing the chat does not delete information already sent to Anthropic or a transcript already submitted through the contact form.
Please avoid entering sensitive personal information or confidential material into the chat. AI responses may contain errors; contact [email protected] to confirm information before relying on it.
Service providers and sharing
Personal information is shared with service providers where needed to operate the website and handle your requests:
Cloudflare. Provides website hosting, processes chatbot requests and form submissions, and stores temporary usage-limit information.
Anthropic. Processes chat messages and conversation context to generate AI replies.
Zoho. Delivers contact form submissions to Orb55 by email and hosts the Orb55 mailbox, using data centres in the European Union. Submissions made through the chatbot include the full chat transcript.
Email providers process messages delivered to and sent from Orb55. Where applicable, payment providers process card payments.
These providers may process information outside the United Kingdom. Their handling of information is governed by the relevant service agreements, data protection terms and privacy policies. For transfers from the UK, Anthropic relies on the UK Addendum to the Standard Contractual Clauses, and Cloudflare on the UK Extension to the EU-US Data Privacy Framework.
Information may also be disclosed where required by law.
How long information is kept
General correspondence. Questions that do not lead to a project are deleted within 12 months. This includes any accompanying chat transcript received by email.
Client records. Project correspondence and records are retained for as long as needed for contractual, tax and accounting purposes, typically six years. Records are then deleted unless a continuing legal reason requires them to be retained.
Browser-held chat. The conversation is cleared when the page is reloaded, left or reset.
Usage limits. The IP address and daily counts stored in Cloudflare are automatically deleted after 36 hours.
Provider records. Clearing browser-held information does not clear provider records. Anthropic deletes chat inputs and outputs within 30 days by default. Zoho keeps email delivery logs for 60 days; it does not keep the content of form submissions, which is held only in the Orb55 mailbox. Anthropic, Zoho and Cloudflare may retain information for longer under their applicable service terms, including for security, abuse prevention and legal requirements.
The chatbot application does not deliberately record chat content in its logs. Error details may be logged for troubleshooting.
Your rights
Under UK data protection law, you may have the right to access your personal information, correct inaccurate information, request deletion, restrict its use or receive it in a portable format. These rights depend on the circumstances and the legal basis for processing.
Right to object. You may object to processing based on legitimate interests.
To exercise your rights, email [email protected]. Requests will normally receive a response within one calendar month. Where a lawful extension is needed, you will be informed of the reason and revised deadline.
You may also complain to the Information Commissioner's Office at ico.org.uk.
Cookies and browser storage
The website does not use cookies for tracking, analytics or advertising.
The AI assistant does not use cookies, localStorage or sessionStorage. Its conversation history is held only in the current page's memory and is cleared when the page is reloaded, left or reset.
The temporary usage record is stored on Cloudflare's servers, rather than in your browser.
Changes to this policy
This policy will be updated if the way personal information is handled changes. The "Last updated" date identifies the latest revision.
